AI Automation for Recruitment Agencies
Recruitment is a relationship business that generates a great deal of administration. Consultants source candidates, chase clients for business, schedule interviews and keep an applicant tracking system up to date, often in the same afternoon. The more of that work is done consistently, the more time is left for conversations that place people.
We have not built a system specifically for a recruitment firm, so this page describes what this can look like in general terms rather than a delivered project. Details of how each automation works are on the linked use-case pages.
Where the friction is
Business development that stops when the desk gets busy
Outreach to prospective clients is the first thing to slide when consultants are filling roles, which makes the pipeline lumpy.
Candidates left without updates
Slow or absent feedback damages an agency's reputation with candidates who may later become clients or referrers.
Interview scheduling back and forth
Coordinating diaries between candidates and hiring managers takes many messages, and interviews are lost to delay.
Screening calls that eat the day
Early conversations to check availability, salary expectations and basic fit are necessary but repetitive.
Data entered twice or not at all
Notes and statuses have to be recorded in the ATS or CRM. When they are not, the database decays and future searches suffer.

Frequently asked questions
Can automation make hiring decisions about candidates?
It should not. Automation is better suited to scheduling, outreach and updates. Decisions about who is put forward or hired carry fairness and legal considerations, so they should be made by people who can explain their reasoning.
Will automated outreach damage our reputation?
Poorly targeted or repetitive messages can. Outreach works best when it is relevant, restrained and sent within platform rules. We would set limits and wording with you, and you review what goes out under your name.
Does it integrate with our ATS or CRM?
Many applicant tracking and CRM tools expose an API, which allows notes and statuses to be updated automatically. Support varies between products, so we check what yours allows during scoping before proposing a design.
Is candidate data handled safely?
Candidate information is personal data, so storage, access and retention need deliberate design. Your agency remains the data controller and responsible for lawful use. We scope what the system sees and keeps with that in mind.
