AI Automation for Insurance Brokers and Agencies

Broking is a service business built on paperwork and timing. Clients call to ask about cover, renewals or claims, insurers request documents, and policy details must be right the first time. Much of a broker's day goes on gathering information and keeping several parties informed, rather than on advising clients.

This page outlines where brokers and agencies typically lose time and which automations may help. Insurance distribution is regulated, and responsibility for compliance, suitability of advice and fair treatment of customers stays with your firm. Automation here supports administration only: people should make and approve every recommendation, quote decision and communication that affects a customer's cover. We have not built for an insurance business before, so this is not a description of past work.

Where the friction is

Phones busy at the worst times

Renewal periods and claims events bring waves of calls. Small teams cannot answer them all, and customers in a stressful situation are left waiting or leave a voicemail.

Chasing documents and information

Quotes and claims stall until customers supply forms, certificates or details. Reminders are typically sent manually, so items linger and files are hard to prioritise.

Renewals that depend on memory

Contacting customers ahead of renewal is essential to retaining them, yet the timing and tone are often inconsistent, especially when staff are stretched.

Repetitive correspondence

Standard letters, confirmations and summaries are written or adapted repeatedly. Each carries a risk of copy-and-paste errors, which matter more in a regulated setting.

Information duplicated across systems

Broker platforms, insurer portals, accounting tools and spreadsheets all hold part of the picture. Re-keying between them takes time and introduces discrepancies.

Frequently asked questions

Can an automated system recommend or sell insurance products?

We would not build it to. Recommendations and anything resembling advice need qualified people and a firm that answers for its regulatory obligations. Automation is better used to collect information, answer routine service questions and route customers to the right person.

How do we keep humans in the loop on customer communications?

Drafts can be prepared for a named person to check and approve before they are sent, and sensitive topics can be routed straight to staff. The approval points are agreed with you, since responsibility for what customers receive remains with your firm.

Does automation affect how we treat vulnerable customers?

It should support, not weaken, your existing processes. Callers who seem distressed or confused can be passed to a person promptly. Your firm is responsible for its treatment of customers, so we would build around your policies, not replace them.

Can it connect to our broker platform and insurer portals?

Sometimes. It depends on what each system offers, and many insurer portals restrict automated access. We check this at the start and say clearly where a link is not feasible instead of promising something that would be unreliable.
