What we build

The owner is notified and a task is created with a reasonable deadline. We include fallbacks for records that match no rule, so nothing sits unassigned, and we write the routing logic down so it can be reviewed.

Lifecycle and follow-up workflows

Workflows can move contacts through lifecycle and deal stages when conditions are met, create tasks, send internal alerts and trigger follow-up emails. We tie them to the stages your team actually uses and add clear stop conditions, such as a reply, a booked meeting or a closed deal. Email wording is yours to approve, and we keep sequences short and relevant.

Lead scoring and data quality

Scoring helps your team decide who to contact first, but only if the rules reflect real buying signals. We agree these with your sales people, using properties and engagement you already record, and review the results with you. Alongside scoring, we add checks for missing fields, duplicates and stale records so that reports are not built on gaps.

Reporting and cross-tool sync

We build dashboards around the questions managers really ask, such as where deals stall and which sources produce qualified leads. Where data lives in other systems, such as invoicing or support, HubSpot can exchange it through integrations, webhooks or the API. We agree which system owns each field and set alerts for failed syncs.

Designing routing rules people trust

Routing sounds simple until the exceptions arrive. A lead might match two territories, belong to an existing customer or come from a partner. Before building, we list the real situations your team meets and write a rule for each, including what happens when no rule matches. That list becomes the specification, and it is far easier to agree on paper than to discover through a misrouted enquiry.

HubSpot is sold as a set of products and tiers, and the availability of features such as advanced workflows, custom properties, calculated fields, sequences and custom reporting varies between them. Limits on records, workflow actions and API usage can also differ. We cannot assume what your account includes, so we review it early and design within it, rather than proposing something that would need an upgrade you did not expect.

If a feature you want sits in a higher tier, we will say so and describe the alternative, which might be a simpler workflow, an external tool connected through the API, or doing that step manually for now. The decision to upgrade is yours. Our job is to give you accurate information about what is possible in your current set-up and what would change if it grew.

Keeping automation safe around customers

Automation inside a CRM can affect many records quickly, including mistakes. We therefore test workflows on a small, clearly marked group before enabling them widely, and we avoid actions that cannot easily be undone, such as bulk deletion or overwriting fields without a backup. Where a workflow changes data in bulk, we export the affected records first so they can be restored if something is wrong.
