Salesforce Automation: Flows, Integrations and Data Sync

Flows, integrations and data sync that keep Salesforce accurate and connected to the rest of your business.

Salesforce automation means using Flows, approval processes, validation rules and integrations to take over repetitive CRM work: updating fields, creating tasks, routing records, requesting approvals and passing data to other systems. Done well, your team spends less time maintaining the CRM and more time using it.

We build automation around Salesforce, using its declarative tools where they are enough and its APIs where data has to travel to or from other systems. Where AI helps, for example drafting a summary or a reply, we add it with a person approving anything that reaches a customer or carries commercial weight.

We have not yet documented a client build on Salesforce, so this page is not a track record, and we make no claim of certification or partner status. We also suggest a certified implementation partner for large or heavily customised orgs. What features and limits apply depends on your edition and setup.

A good fit when

Teams on Salesforce whose records are updated by hand and often out of date.

Businesses that need Salesforce to exchange data with finance, support or operations systems.

Admins who are stretched and want routine automation designed and documented properly.

Companies with approval steps, such as discounts or onboarding, that currently run over email.

Probably not when

Large, multi-team Salesforce implementations that need a certified implementation partner.

Teams expecting automation to replace clear ownership of data and process.

Anyone seeking guaranteed revenue or conversion outcomes.

What we build

Flows for routine record updates

Flows can run when a record is created or changed, or on a schedule, to update fields, create tasks, assign owners and send notifications. We write the rule in plain language first, build it, then test it in a sandbox against awkward cases such as blank fields and bulk loads. Each flow is named and described so your administrator can maintain it.

Approval and hand-off processes

Requests such as discounts, onboarding or contract changes often run over email and get lost. We can set up approval steps in Salesforce so the right person receives the request with the relevant record details, and decisions are logged against it. Escalation after a set wait helps stop requests stalling. Approval rules stay with your team, since they involve money and commitments.

Integrations and two-way data sync

Salesforce can exchange data with other systems through its APIs and, where suitable, middleware or webhooks. We connect it to tools such as accounting, support, marketing or spreadsheets. Before building we map every field, name the source of truth and decide how conflicts are resolved. Failed runs raise an alert, because a silent sync failure is how data quietly drifts apart.

AI-assisted summaries and drafts

AI can help with summarising a long account history, drafting a follow-up or suggesting the next step, based on data in the record. We keep a person in the loop for anything sent to a customer, and anything about pricing, legal terms or complaints is escalated rather than answered automatically. Access to data follows your existing Salesforce permissions and sharing settings.

Flows, code and when each is appropriate

Salesforce offers several ways to automate, and the simplest one that does the job is usually best. Flows handle a great deal without writing code, and they are easier for an administrator to read and adjust. Some needs, such as heavy processing, complex logic or tight performance limits, may call for code instead. We explain which approach we propose and why, so that you are not left with something only one person understands.

Whatever the method, Salesforce enforces limits on how much work can happen in a single transaction and on API usage over time, and these vary by edition. We design with those limits in mind, avoiding patterns that fail when a bulk import arrives. Testing in a sandbox before production, including with large batches of records, is a standard part of our approach rather than an optional extra.

Getting two-way sync right

Sending data one way is relatively easy. Keeping two systems in step when both can change the same record is harder, because somebody has to decide what happens when they disagree. We agree a rule for each shared field, for example that Salesforce owns the account owner while the finance system owns payment status, and we write it down. That single document prevents most of the arguments that follow a sync problem.

We also plan for failure. Networks drop, APIs rate-limit and records arrive with missing values. The integration should retry sensibly, avoid creating duplicates and tell a person when it cannot continue. We test these cases deliberately, and we describe in handover notes how to see what failed and how to rerun it. A sync nobody can inspect becomes a risk, however well it works at first.

Edition limits, permissions and honest scope

Which Salesforce features you can use depends on your edition, licences and configuration, and an organisation with years of customisation can behave differently from a fresh one. Before proposing anything, we ask for a clear picture of the objects, fields, existing automation and integrations involved. Existing flows and code can interact with new ones, and we would rather find the clash on paper than in production.

We are also candid about scope. Large Salesforce programmes involving data migration, multiple clouds or complex security models are better led by an experienced implementation partner, and we will say so if your project is of that kind. We are a good fit for defined automation and integration tasks, where the aim is to remove a specific manual step reliably and document it well.

Typical scenarios

Manual updates after every call

Account managers update the stage, next step and follow-up date by hand, and often forget. A flow now sets the next-step date when a meeting is logged, creates a follow-up task and notifies the owner if a deal has no activity for an agreed period.

Discount approvals over email

Salespeople email a manager for approval and wait. An approval step now sends the request with the opportunity details to the right approver, escalates if there is no reply, and records the decision on the record, so the history is searchable.

Customer status held in finance software

Account teams cannot see whether a customer has overdue invoices without asking finance. We sync the relevant invoice status into Salesforce through the API, name the finance system as the source of truth and alert on failed runs, so the information is available on the account page.

Closed deals that need onboarding

When an opportunity closes, someone must create the onboarding tasks and tell several teams. A flow now creates a standard checklist, notifies the relevant people and passes the details to the delivery tool, while a person confirms anything that depends on a contract.

What changes

Routine updates happen on their own

Field changes, tasks and notifications are triggered by what happens in the record rather than by memory.

One consistent view across tools

Data moves between Salesforce and your other systems under agreed rules, with failures flagged.

Approvals that do not stall

Requests reach the right person with the context they need, and decisions are recorded against the record.

How it works

Review your org and process

We look at the objects, fields, existing automation and integrations involved, and write down the rules and exceptions before designing a solution.

Build in a sandbox

We create flows and integrations in a sandbox first, keeping approval steps for anything customer-facing or involving money.

Test and deploy carefully

We test edge cases and bulk loads, agree a deployment plan with your administrator and release to production in controlled steps.

Hand over and monitor

You receive documentation and error alerts, and we review live behaviour with you so that changes in Salesforce or connected tools are caught early.

What you receive

A written specification of triggers, rules, owners and exceptions

Flows and related configuration built and tested in a sandbox

Integrations that exchange data with your other tools via API or webhooks

Field mapping and a stated source of truth for each shared field

Error alerts and a plain description of how failures are handled

Handover documentation for your Salesforce administrator

Frequently asked questions

Are you a Salesforce partner or certified?

We do not claim certification or partner status, and we have not yet documented a client build on Salesforce. We offer defined automation and integration work, and recommend an experienced implementation partner for large or heavily customised programmes.

Can you build automation without writing code?

Often, yes. Flows and approval processes cover many routine needs and are easier for your administrator to maintain. Where limits or complexity require code, we explain that choice and document it so it is not a black box.

Can Salesforce sync with our other systems?

Generally, through its APIs and, where suitable, middleware or webhooks. What is possible depends on your edition and on the other tool's own API. We map fields, name a source of truth and add alerts for failed runs.

How do you avoid breaking our live data?

We build and test in a sandbox first, including bulk loads and awkward records, then deploy in controlled steps. We avoid irreversible actions and back up affected records before bulk changes. Testing lowers risk but cannot remove it completely.

Will AI features respect our permissions?

We design AI steps to follow your existing sharing and permission settings, and we keep a person in the loop for anything sent to customers. Pricing, legal terms and complaints are escalated to your team rather than answered automatically.

Can you guarantee a faster sales cycle?

No. Results depend on your process, data and people. We can remove specific manual steps and make your records more reliable, which gives you better information, but we do not promise particular sales or revenue outcomes.
